Administrative Assistant to the Town Manager and Select Board

Full Time 35 hours A4: ($37.35 - $44.64) per hour in 10 steps.

The Town of Cohasset is seeking a skilledand detail-oriented administrative assistant to support the Town Manager and Select Board. This role requires strong organizational communicationand technology skills with the ability to manage office operations coordinatemeetings prepare agendas and minutes and maintain accurate records. The idealcandidate thrives in a fast-paced environment multitasks effectively andprovides professional responsive service to staff boards and the public.

Position Overview:

Reporting to the Town Manager andsecondarily to the chair of the Select Board the Administrative Assistant has primaryresponsibility for managing operations in several different areas of the officesof Town Manager and Select Board including but not limited to: organizingmeeting materials and handling general office operations such as processing turnoversscheduling meetings responding to inquiries and liaising with the public. Flexibility to work beyond 35 hours regularlyfor meetings.

Key Responsibilities:

Manage daily officeoperations including drafting memos and letters answering phone calls fromthe public and staff organizing and maintaining department files handlingincoming mail and coordinating the Town Managers calendar.

Providecomprehensive support to the Select Board including developing agendaspreparing meeting packets attending meetings taking detailed notes producingminutes managing board and committee appointments and advertising publichearings.

Operate video andaudio equipment for meetings as needed to ensure smooth proceedings.

Oversee centralpurchasing for assigned departments including ordering office suppliescoordinating with vendors for printed materials such as envelopes and businesscards and processing invoices.

Assist with avariety of additional tasks including issuing wedding permits managingparking permits for town beaches scheduling conference rooms and conductingresearch for projects licenses or other administrative needs.

Qualifications:

MinimumQualifications:
High school education or equivalent. Excellent computer skills includingproficiency in Microsoft Word Excel Outlook and PowerPoint. Ability tofollow standardized rules and procedures. Ability to operate office equipmentsuch as computers calculators and audio/video equipment. Strongorganizational skills and the ability to multitask in a fast-paced and attention to detail. Strong customer service data entry andtyping skills.

PreferredQualifications:
Thorough knowledge of office practices and procedures. Working knowledge ofmunicipal operations and functions. Experience in maintaining organized recordsand files. Demonstrated ability to prioritize tasks and manage multipleprojects effectively.

Compensation& Benefits:

This is a full-time position classified as Grade A4 with a rate of $37.35 - $44.64 . The Town of Cohasset offers a competitive salarycommensurate with experience along with a comprehensive benefits package.
